What a UK invoice must include

GOV.UK lists these details for every invoice. The last four apply only to sole traders using a business name and to limited companies.

  • A unique identification number
  • Your company name
  • Your address
  • Your contact information
  • The company name of the customer you’re invoicing
  • The address of the customer you’re invoicing
  • A clear description of what you’re charging for
  • The date the goods or service were provided (supply date)
  • The date of the invoice
  • The amount(s) being charged
  • VAT amount if applicable
  • The total amount owed
  • Sole trader: your name and any business name being used
  • Sole trader using a business name: an address where legal documents can be delivered to you
  • Limited company: the full company name as it appears on the certificate of incorporation
  • Limited company: if directors are named, all directors must be named

An invoice is not the same as a receipt, which is an acknowledgement of payment: use the receipt template once you are paid. Unless a payment date is agreed, the customer must pay within 30 days. If you and your customer are both VAT registered you must use a VAT invoice, which needs more details: try the VAT invoice template.
